Retention Settings
Retention Settings control how content changes are logged and preserved upon update and deletion.
The settings are maintained by the Cleanup Repository Scheduled Task, which daily by default, but can be configured to run as frequently as needed.
Scope
The first several fields define the Title, Description, status (Active or not) and scope of the retention settings, including which Folder(s) and Content Type(s) they apply to. If the scope of multiple Retention Settings overlap, the most expansive setting from each will be used to ensure all applicable Retention Settings are met.
Versions
Content Logs
Audit trail information are store as Content Logs. All content changes are logged indefinitely by default. These settings can disable the audit trail per Folder and Content Type.
Logs are preserved according to both the Max Count and Max Age values. Logs are always preserved unless otherwise specified here.
- If neither value is set then logs will be kept.
- If either value is set to 'Skip Logging' then no logs will be kept.
- If only one value is set then this is the only value that is honored.
- If both values are set, then a log is kept until it exceeds both values.
Deleting Content
Deleted Content is purged according to Max Age values. Content that is marked for deletion will be purged after the system configured io_comand_database.diagnose.deleted_days value unless otherwise specified here.
Add Revision Settings
To add Revision Settings:
- Launch Content Manager (CMS)
- Click the desired folder where you would like to store the Retention Settings. The folder is for organization purposes only and will not impact what content and logs are preserved.
- Click Add and select "Retention Settings".
- Enter a Title for organizational purposes.
- Select the desired Folder(s) to apply the settings to.
- Select the desired Content Type(s) to apply the settings to.
- Adjust the desired settings.
- Click Approve.
Versions are preserved according to both the Max Count and Max Age values. No versions are preserved for content unless otherwise specified here.
